1. Overview

This policy explains what information Billow collects when you use our app and website, why we collect it, and who we share it with. “You” refers to the business owner using the app. Your clients interact with individual documents through a link and are covered separately in section 4.

2. Information we collect

When you use Billow, we collect:

  • Account information: an email address, if you choose to add one for account recovery.
  • Business and client information you enter: business name and contact details, client names, contact information, addresses, price book items, invoices, estimates, notes, and any photos you attach to a document.
  • Payment information: if you connect a Stripe account, Stripe shares limited account status information with us (for example, whether the account can accept charges). We never see or store your clients’ card numbers, which go directly to Stripe.
  • Subscription status: whether you have an active Pro or Unlimited subscription, provided to us by Apple through RevenueCat.
  • Device and usage information: app version, general device type, and a push notification token if you enable notifications.

3. How we use information

We use the information above to:

  • Operate the core features of the app: creating, sending, and tracking documents and payments
  • Send the emails and push notifications you or your clients trigger, such as an invoice link, a payment reminder, or a viewed/paid alert
  • Generate PDFs and reports from your own data
  • Provide customer support when you reach out to us
  • Maintain the security and reliability of the Service

We don’t sell your information, and we don’t use your client data for advertising.

4. Your clients and public links

When you send an estimate or invoice, we generate a link a client can open without creating an account. Opening that link lets us record that the document was viewed, and, where relevant, the client’s decision, timestamp, and IP address as evidence of an approval, decline, or e-signature. That information is visible to you as the sender. Public links expire after the period described in the app and stop working once a document is fully paid or superseded.

5. Who we share information with

We rely on a small number of service providers to run Billow. We share information with:

  • Our database and storage provider, which hosts your account, documents, and files.
  • Stripe, to process card payments and payouts to your connected account.
  • Apple and RevenueCat, to process App Store subscriptions and confirm your plan.
  • Our email delivery provider, to send invoice, estimate, and reminder emails on your behalf.
  • Apple Push Notification service (via Expo), to deliver push notifications to your device.

We don’t share your information with third parties for their own marketing purposes, and we only disclose it beyond these providers if required by law or to protect the rights, safety, or property of Billow or our users.

6. Data retention

We keep your account and business data for as long as your account is active. If you stop using Billow, your data remains until you request deletion. Financial and payment-related records may be kept longer where needed for fraud prevention, dispute resolution, or legal obligations.

7. Your choices

You can:

  • Edit or delete individual clients, price book items, and drafts directly in the app
  • Turn off individual push notification types in Settings
  • Disconnect your Stripe account at any time
  • Request a copy or deletion of your account data by reaching out through our contact page

Depending on where you live, you may have additional rights over your personal information under laws such as the GDPR or CCPA. Reach out through our contact page to exercise them.

8. Data security

We use industry-standard measures to protect your information, including encryption in transit and access controls that isolate each workspace’s data. No method of storage or transmission is completely secure, and we can’t guarantee absolute security.

9. Children

Billow is a business tool and isn’t directed at children. We don’t knowingly collect information from anyone under 16.

10. Changes to this policy

We may update this policy from time to time. If a change is material, we’ll update the “Last updated” date above and, where appropriate, notify you in the app.
